Contract Compliance Management at the Unit Level

Earlier this week I was reading the website of one of our ValuTrak® clients. This client, part of the hotel segment, prominently features information about one of their brand’s award-winning menus featured throughout the units of that property. They pride themselves on providing hot, cooked-to-order morning meals to their guests. 
It is a source of pride to Answers Systems that this client is part of the ValuTrak Community.  They have negotiated special rebates and pricing with brand-leading manufacturers and distributors to ensure they are able to provide the highest quality products at the best prices for their menu program, and we get to play a small role in support of their contract compliance management and rebate settlement efforts.
For this client (and all ValuTrak clients) Answers Systems receives electronic, invoice-level, distributor shipment data. We clean and map each line of data to ensure accurate rebate claims against vendor contracts, perform price verification, and analyze the data per the client’s reporting specifications. All of this verified data can be accessed online in various report formats in the ValuTrak reporting application. 
Using the online reporting tools, this hotel property can:
  • Monitor compliance performance
    • Who’s purchasing spec’d products and who is not
    •  “Should Buy” price versus actual price from distributors
  • Discover purchasing trends on items they do not currently have deals for – giving them leverage to negotiate new deals
  • Enforce compliance at the unit level
The third point is where this client shines. Not only do they simply monitor when a unit is not buying spec’d products, they address the compliance gap with the property manager. If the purchasing issue is not resolved, the unit will be fined. While there are definite monetary benefits to enforcing compliance, this decision also underscores why they are recognized for their award-winning menu: they enforce consistency and quality of products used throughout their brand’s units.
